Position Overview
As a Senior Receptionist, you will be the first point of contact for our patients and visitors, playing a critical role in creating a positive patient experience while ensuring smooth and efficient front desk operations at our healthcare facility.
Key Responsibilities
Patient Welcome & Service
- Welcome patients with a friendly, professional demeanor
- Greet visitors and provide excellent customer service
- Create a warm and welcoming environment for all who enter the hospital
- Ensure patients feel valued and cared for from their first interaction
Appointment & Schedule Management
- Efficiently manage appointments and schedules to ensure smooth operations
- Coordinate patient appointments with medical staff availability
- Handle appointment bookings, changes, and cancellations
- Optimize scheduling to minimize patient wait times
- Maintain accurate appointment records
Communication & Inquiries
- Handle phone calls and inquiries promptly and accurately
- Provide information to patients and visitors professionally
- Direct calls to appropriate departments and staff members
- Manage incoming and outgoing correspondence
- Respond to patient questions with clarity and patience
Reception Area Management
- Keep reception area organized, clean, and presentable at all times
- Maintain a positive and professional environment
- Ensure all reception materials and forms are well-stocked
- Create a comfortable waiting area for patients
- Monitor the reception area throughout the day
Coordination with Medical Staff
- Coordinate with medical staff to ensure seamless patient care
- Communicate patient arrivals to relevant departments
- Facilitate smooth patient flow through the facility
- Support medical staff with administrative needs
- Ensure effective communication between front desk and clinical teams
Administrative Support
- Process patient registrations and check-ins
- Manage patient records and documentation
- Handle payments and billing inquiries
- Maintain confidentiality of patient information at all times
- Support overall hospital operations as needed
Requirements
Experience
- Minimum 2 years in a similar position (required)
- Previous experience in a hospital or medical setting preferred
- Proven track record in customer service or reception roles
